The Geneva Lake Conservancy,
a not-for-profit land trust in Fontana, Wisconsin, seeks an
Administrative Assistant to serve the organization through
the maintenance of the back office and facilitating the day-to-day
operations
Duties
- General Office
- Maintain inventory
of supplies
- Maintain computer
software and hardware for office.
- Oversee routine
upkeep/maintenance of Mill House building and grounds
- Troubleshoot basic
computer problems and provide technical support
- Maintain the Conservancy's
501(c)(3) status and other charitable organization licenses
- Process information
requests and routine correspondence
- Answer phones and
assist with routine photocopying, faxing, printing and
mailings
- Schedule meetings
and maintain office calendar
- File and maintain
vendor contracts and contact information, administrative
records, and other project records
- Bookkeeping
- Record checks and
deposits in QuickBooks
- Obtain database
transmittal report from the Membership and Outreach
Coordinator
- Present deposits
for Executive Director's signature along with the database
transmittal reports
- Reconcile database
transmittal report and monthly income statements with
Membership and Outreach Coordinator for Executive Director's
approval
- Reconcile bank statements
and create monthly financial reports for Executive Director
review and Finance Committee approval
- Process and record
credit card donations in QuickBooks
- Process checks,
issue invoices, make deposits and pay bills
- Provide supporting
materials to accountant and auditors
- Assist with and
oversee annual budget for review by Executive Director
and Board of Directors.
- Website Management
- Update the content
of the website, including calendar dates of notice,
newsletters, current events, and GLC program information
- Modify existing
site architecture as needed, implementation and maintenance
of designs and content
- Gather information
from local agencies and organizations, editing and including
it in the website.
- Interact with the
Conservancy's ISP to maintain the web server
- Manage and maintain
the Conservancy's domains and connection to the internet
- Other
- Assist Membership
and Outreach Coordinator when necessary in preparing
and sending requests for donations, at the direction
of the Executive Director
- Assist, when necessary,
in the publication of promotional and educational materials,
at the direction of the Executive Director
- Prepare supporting
documents for all meetings of the Board of Directors
- Take and prepare
minutes for meetings of the Board of Directors and certain
Committee meetings
- Assist in preparing
various reports and research, as assigned by the Executive
Director
- Assist, when directed
to do so by the Executive Director, in special events
and conferences. Duties include providing supporting
materials, decorating, processing necessary financial
information and following up on live and silent auction
items at Holly Ball, Mai Tai and all future fundraising
events.
- Sit on necessary
committees, as assigned by the Executive Director
- Represent the Conservancy
on official matters, as assigned by the Executive Director.
Qualifications
- Bachelor's Degree or
equivalent work experience
- Strong computer skills,
including software such as QuickBooks and the Microsoft
Office suite; knowledge of web design/maintenance software
such as Dreamweaver a plus
- Strong organizational
skills with attention to detail
- Highly motivated with
good follow-through
- Strong verbal, written
and interpersonal communication skills.
- Demonstrated ability
to work independently, meet deadlines and yet be part of
a team working toward a common goal
- Knowledge of non-profit
organizations a plus
- Commitment to the mission
of the GLC
The Administrative Assistant
is a full-time position. Hourly wage is commensurate with
experience.
